Archiving competencies now archive related training records
System Update: Automated Workflow for Training Competencies (v2026.08.0)
The myosh platform has introduced automated workflow advancing rules for Competency fields. This enhancement synchronizes the status of individual Training Records with their parent Competency definition. When a Competency is archived or restored in the system, all associated Training Records now automatically update their workflow status to align with the change.
How the Feature Works
This automation ensures data consistency across the Training Management module:
- Archiving a Competency: When an administrator archives a Competency, all linked Training Records are automatically advanced to an 'Archived' status.
- Restoring a Competency: When an archived Competency is restored, the associated Training Records are automatically returned to their previous workflow status.
Getting Started
1. Configure the Workflow
The automated status transition is managed through the Automated Advancing of Workflow settings within the advanced form editor.
- Navigate to Administration > Form/Workflow Definition.
- Open the relevant form configuration.
- Select the Automated Advancing of Workflow tab.
- Configure the rule by selecting the origin status (e.g., 'Open') and the destination status (e.g., 'Archived').
- Set the condition to trigger based on the Competency status change.
2. Managing Competency Status
The automated workflow is triggered by changes made within the Training Management administration area.
- Navigate to Administration > Training Management.
- Select the Competency tab.
- To Archive: Select the required Competency from the list and select Archive Competency from the menu.
- To Restore: Navigate to the archived competencies list, select the record, and restore the item to active status.
Important Notes
- Configuration Dependency: This feature relies on the setup of defined workflows and automated advancement rules. Ensure that both the Competency administration and the workflow configuration for the Training Records module are aligned.
- Data Integrity: As this process affects Training Records in bulk, verify that the workflow states defined in the Advanced Form Editor match the requirements of the organization's Training Management processes.
