Understand the purpose of the Field Observations module, what you can achieve with it, and its main features.
What is the Field Observations Module?
The Field Observations module helps your organization proactively manage safety and operational standards by providing a structured way to record various on-site observations. This includes safety interactions, planned task observations, layered audits, and general field checks.
Use this module to:
- Document both commendable practices (recognitions, achievements, safe behaviours/conditions) and areas needing improvement (at-risk behaviours, hazardous conditions).
- Standardize how field-level observations are recorded across your organization.
- Identify potential hazards, risks, and trends in operational activities.
- Assign and track corrective and preventive actions stemming from observations.
- Gather data for safety performance analysis and continuous improvement.
Key Features
- Structured Recording: Observations are typically captured in two parts:
- A Main Field Observation Record: Captures overall details of the visit or observation session (e.g., who, when, where, type of visit).
- Individual Observation Entries: Linked to the main record, these detail each specific finding, whether positive or negative.
- Detailed Categorization: You can classify observations by type (e.g., "Recognition and achievement," "At risk behaviour or hazardous condition") and further refine them using "Threat Type," "Sub Type," and "Mechanism" fields for more precise analysis of unsafe conditions or behaviours.
- Risk Assessment: For observations involving potential hazards, you can record an "Actual Risk Rating" (with current controls) and a "Potential Risk" (if controls were absent or failed) to help prioritize responses.
- Integrated Action Management: Easily link observations to new or existing "Associated Hazards" and "Associated Actions" from the Actions module. This ensures that findings are addressed and tracked through to completion.
- Simple Workflow: Records typically move from a "Draft" state (while being prepared) to a "Complete" state (once finalized).
- Configurable Notifications: The system can be set up to automatically notify relevant personnel (e.g., Site Managers, Line Managers) when specific types of observations are submitted.
- Organizational Hierarchy: Observations are tagged to your organization's hierarchy (e.g., Site, Department), helping to filter, report, and manage data effectively.
- Attachments: You can attach photos, documents, or other files as evidence or for further context to both main and individual observation records.
