Searching for Equipment and Service Records
Search tools to help you locate records.
Finding Equipment
- When using global search, equipment is often identified by its Type, Asset No., or Serial Number.
- In the module's record list, you can typically see columns like Site, Serial Number, Asset No., Type, Status, and Location.
- Utilize date filters (e.g., by "Purchase Date"), column header filters, and the main "Search Records" function.
- You can customize the columns displayed and save your preferred views (see "Customising Column Headings" and "Saving Search Views").
Finding Service Records
- Global search may identify service records by Service Type and Service Date.
- The list view for all service records often shows Service Date and Type.
- Standard search and filter methods apply.
Reporting and Exporting Data
- Exporting: Users with appropriate permissions can export Equipment Maintenance and Service record lists (e.g., to CSV, PDF, Excel). The export will include the columns currently displayed in your view. See "Exporting Data."
- Dashboard Integration:
- The "Purchase Date" for equipment and "Service Date" for service records are often used for creating time-based charts and summaries on dashboards. This allows for visual tracking of maintenance activities and equipment age.
User Roles and Permissions
Your ability to create, view, edit, or delete records in the Equipment Maintenance module depends on your assigned user role and system configuration.
- Administrators typically have full access.
- Other roles (e.g., Power User, User) will have permissions tailored to their responsibilities. For instance, some users might be able to log services but not edit core equipment details.
- A specific "Service Notification Recipients" role may be used to determine who receives email alerts about service events.
If you are unable to perform an action you expect, consult your system administrator regarding your permissions.
