How to Log a New Inspection or Audit
Starting a new inspection or audit involves selecting the appropriate custom form and entering initial details.
General Steps to Log an Inspection/Audit:
- Navigate to the Module: Access the "Inspections & Audits" module from your main navigation menu.
- Initiate a New Record: Click the button to create a new inspection (this might be labelled "New," "Add Inspection," "Log Audit," etc.).
- Select the Correct Form: You will be presented with a list of inspection or audit forms that your administrator has configured for your organization. Choose the one that matches the task at hand. For example, your organization might have forms like 'Forklift Pre-Start Check,' 'Weekly First Aid Kit Inspection,' or 'Internal Process Audit.'
- Enter Initial Details: The fields in this initial section will vary based on the custom form design, but typically include:
- Inspection/Audit Date: When the activity is planned or occurred (often defaults to today).
- Accountable Person/Lead Auditor: The individual responsible for overseeing or conducting the inspection/audit.
- Brief Description/Scope: A short summary of the inspection's purpose or scope.
- Location: Where the inspection or audit is taking place.
- Team/Participants: If a specific team is involved.
- Hierarchy Levels: (e.g., Company, Site, Department) To correctly categorize the record within your organization’s structure.
- Linked Assets or Processes: Some forms may allow you to link to specific equipment (from an Asset Register) or defined processes.
- Save the Record: Click "Save" or "Submit" (or an equivalent button) to create the inspection/audit record. This will typically move it into an 'Open' or 'In Progress' status, ready for detailed completion.
Once logged, the inspection or audit is ready for you to fill out its specific sections and questions as per the custom form's design.
