Inspections Module Overview
Overview of the Inspections & Audits module, emphasizing user-defined forms, general capabilities, and its critical integration with the Critical Control Management (CCM) module for control verification.
Purpose of the Inspections & Audits Module
The Inspections & Audits module is a versatile tool that empowers your organization to create, conduct, track, and manage a wide array of inspection and audit processes. Your system administrator will configure specific inspection and audit forms tailored to your organization's unique requirements using the built-in form editor. This means that instead of a fixed set of forms, you will see forms designed for your specific operational needs, such as 'Monthly Workshop Safety Checks,' 'Pre-Flight Drone Inspection,' or 'Supplier Quality Audit.'
Key Capabilities:
- Customizable Forms: Conduct inspections using forms specifically designed for your processes. These forms can include various question types, scoring, and conditional logic.
- Workflow Management: Inspections typically follow a defined workflow (e.g., Draft, Open, In Review, Completed, Archived) configured by your administrator.
- Scheduling & Accountability: Assign accountable individuals and teams, and set schedules or reminders for inspections.
- Data Collection: Consistently capture data through structured questionnaires, observation fields, and scoring mechanisms.
- Integrated Follow-up: Link inspections directly to the Actions module to manage corrective or preventive actions, or to the Hazards module to report new hazards identified.
- Mobile Accessibility: Often, inspections can be completed on the go using mobile applications.
Integration with Critical Control Management (CCM):
A crucial aspect of the Inspections & Audits module is its potential for tight integration with the Critical Control Management (CCM) module. If your organization uses CCM:
- Verification of Critical Controls: Inspections are a primary method for verifying the effectiveness of Critical Controls. An inspection form might be designed specifically to assess whether a Critical Control is in place, functioning correctly, and meeting its performance standards as defined in the CCM module.
- Impact on CCM Records: The findings and outcome of an inspection (e.g., pass/fail, specific deficiencies noted) can directly update the status of the associated Critical Control and the overarching Critical Risk Assessment (Material Unwanted Event) in the CCM module. For example, a failed inspection for a critical control can trigger notifications and change the control's status to 'Not Effective'.
This module provides a structured approach to ensure that operational checks and compliance audits are performed consistently and that findings are managed effectively, particularly those related to your most critical safety and operational controls.
