How to use additional SWMS tools like cloning existing records and exporting to Microsoft Word.

The SWMS module offers tools to help you manage your documents efficiently.

Cloning a SWMS Record

  • Purpose: Quickly create a new SWMS based on an existing one. This is very useful if you're performing a similar task at a new location or with minor variations, saving you from re-entering all the information.
  • How to: Look for a "Create a copy," "Clone," or similar button, often found in an 'Other Activities' or 'Actions' menu within an existing SWMS record. Clicking this will duplicate the SWMS, and you can then edit the new copy.

Exporting to Word

  • Purpose: Generate a Microsoft Word version of your SWMS. This is helpful for offline distribution, printing for on-site use, or if you need to share the document with parties outside the system.
  • How to: Find an "Export to Word" button, usually located in the same 'Other Activities' or 'Actions' menu as the clone function. This will create and download the SWMS as a .docx file.
