Hazard Module Workflows and Notifications
Details the lifecycle (workflows) for different hazard types and explains the automated email notifications users can expect.
Introduction
The Hazard module uses workflows to guide hazards from identification to resolution. Automated notifications keep relevant parties informed. There are distinct workflows for General Hazards and Risk Assessment Hazards.
General Hazard Workflow Summary
- Draft: Initial creation stage. Not yet submitted for action.
- Open: Submitted and assigned to an Accountable Person for action.
- Triggers 'Overdue' if 'Treatment Due Date' passes.
- Overdue: Treatment Due Date has passed; requires immediate attention.
- ALARP (As Low As Reasonably Practicable): Risk controlled to the lowest practical level. May require periodic review (set 'Next Review Date').
- Eliminated: Hazard completely removed. (Archived state)
- Re-Open: Allows 'ALARP' or 'Eliminated' hazards to be brought back to 'Open' if circumstances change.
Risk Assessment Hazard Workflow Summary
This workflow mirrors the General Hazard workflow in its core states (Draft, Open, Overdue, ALARP, Eliminated, Re-Open), but applies to hazards originating from Risk Assessments using their specific form. The 'Target Date' field on this form influences the 'Overdue' status.
Key Automated Notifications
While specific notification templates are configured by your administrator, you can generally expect emails for:
- New Hazard Assignment: When a hazard is assigned to an Accountable Person.
- Hazard Overdue: When a hazard's due date passes.
- Status Changes: When a hazard is marked ALARP or Eliminated.
- Review Reminders: For ALARP hazards approaching their 'Next Review Date'.
- Comments Added: Stakeholders might be notified of new comments on a hazard they are linked to.
