Configuring Site-Specific Settings
Learn how to create and manage Site Administration records to tailor system behavior for different organizational sites.
Creating a Site Configuration
- Navigate to the Site Administration module.
- Select New Record to create a new "Site Document." This document will hold all the specific configurations for one particular Site.
Defining the Scope: Hierarchy and Locations
- Select Hierarchy: The first crucial step is to choose the Site (and any other relevant hierarchy levels like Company or Division) this configuration will apply to. This links your settings to records in other modules that share the same Site.
- Specify Locations (Optional): If your Site has distinct sub-locations, you can further refine the scope using the "Locations" field.
Setting Up Module Behaviors
Once the Site is defined, you can specify how other modules should behave for records associated with this Site. You will select the appropriate personnel or groups for each desired setting.
Incident Reporting Defaults
Define default personnel and notification rules for incidents at this Site:
- Supervisors: Assign default Supervisor(s) for new incidents. This helps ensure prompt attention and ownership.
- Authorisers: Designate default Authoriser(s) for incidents requiring final review and sign-off.
- Notifications for New Incidents: Choose who should be alerted when any new incident is logged for this Site.
- Notifications for Closed Incidents: Specify who should be informed when an incident at this Site is closed.
- Category-Specific Notifications: You can also set up targeted notifications based on the incident's category (e.g., Category 1, Near Miss), ensuring specialists or relevant managers are informed.
Hazard Management Defaults
Configure default assignments and notifications for hazards identified at this Site:
- Accountable Persons: Assign default personnel responsible for managing and resolving new hazards.
- Notifications for New Hazards: Choose who should be alerted when a new hazard is logged for this Site.
Training Management Notifications
- Training Due Reminders: Select individuals or groups to receive periodic reminders about training that is due for renewal for personnel associated with this Site. This helps maintain compliance and ensures timely retraining.
Equipment Maintenance Notifications
- Equipment Testing Due Notifications: Specify who should be alerted when equipment linked to this Site is due for scheduled testing or maintenance. This supports proactive maintenance and operational readiness.
Activating and Managing Configurations (Workflow)
Site Administration records follow a simple lifecycle:
- Draft: When first created, the record is a Draft. Settings are not yet active. Select SUBMIT to activate them.
- Active: The configurations are live and will influence other modules. To deactivate, select ARCHIVE.
- Archived: The settings are no longer applied but are kept for reference. You can Restore an archived record to make it Active again.
Typically, only users with administrative privileges can change the status of these records.
