Impact of Site Administration on Other Modules

How it Works: The Link to Your Site
When you create or manage a record (like an incident report or a hazard log) in a connected module, the system looks at the Site selected on that record.
If there's an Active configuration in Site Administration for that specific Site, the settings you defined (like default personnel or notification recipients) will be automatically applied.
Effects on Specific Modules
Incident Reporting
- Relevant Personnel: When new incidents are created for a matched Site, the Supervisors and Authorisers designated in Site Administration will populate the relevant person fields. This ensures that only personnel specific to that Site are readily visible.
- Targeted Notifications: Users selected in the Site Administration record will receive notifications for events like incident creation, closure, or specific incident categories, ensuring relevant parties at that Site are informed.

Hazard Management
- Relevant Personnel: Similar to the Incident Reporting module's Supervisor and Authoriser fields, the Accountable Person field for a new hazard at the matched Site will present a filtered list of individuals based on your Site Administration settings, making it easier to select relevant site personnel.
- Site-Specific Alerts: Individuals specified in Site Administration will be notified when new hazards are logged for that Site.

Training Management
- Enhanced Reminders: The individuals chosen in Site Administration will receive reminders for training due for renewal for personnel associated with that Site, supplementing standard training notifications.

Equipment Maintenance
- Proactive Maintenance Alerts: Key personnel identified in Site Administration will be notified when equipment at that Site is due for testing or maintenance, helping to prevent overdue services.

Key Considerations
- Exact Match: Site Administration settings rely on an exact match of the Site hierarchy value between the Site Administration record and the record in the other module.
- All or Nothing: If no active Site Administration record exists for a Site, the connected fields will be empty. This can be problematic for mandatory fields.
- Permissions Still Apply: Site Administration defines who gets assigned or notified. Their ability to then view or edit records is still governed by their individual user permissions in each module.
