Logging and Managing a Safety Walk

A step-by-step guide to creating, filling out, and managing a Safety Walk record using the 'Walks' form.

Creating a New Safety Walk

  1. Navigate to the Walkthroughs Module.

  2. Start a New 'Walks' Record.

  3. Complete the Main Details:

    • Location of WALK: Specify the area or location of the Safety Walk.
    • Completed Date: (Mandatory) The date the Walk was conducted.
    • Department Manager (for notification): (Mandatory) Select the manager who will receive an email notification when this Walk is submitted as 'Open'.
    • Observer: (Mandatory) The person conducting the Walk.
    • Time Start & Time Finish: (Mandatory) Record the duration of the Walk.
    • No. Persons Observed & No. Persons Contacted: (Mandatory) Quantify the scope of the Walk.
    • Hierarchy: Ensure the correct organizational unit (Site, Department, etc.) is selected.
  4. Link Key Behaviours (If Applicable):

    • If your organization uses predefined "Key Behaviours," link the relevant ones that were the focus of this Walk.
  5. Document Your Review:

    • Safe Action(s) Commended: Describe positive safety practices observed.
    • Unsafe Act(s) Discussed: Detail any unsafe acts or conditions discussed and with whom.
    • Behaviours To Discuss at Next Team Talk: Note any items for broader communication.
  6. Manage Associated Actions:

    • If follow-up is needed, use the "Associated Actions" section to Log New Action or link to existing ones. This ensures issues are tracked. (See "Action Management" documentation for more).
  7. Add Attachments:

    • Upload any relevant photos or documents.

Workflow and Notifications for Walks

The "Walks" form typically follows this workflow:

  • Draft:
    • The initial state when creating a Walk. The record is editable.
    • Click Submit to finalize the Walk details.
  • Open:
    • Indicates the Walk has been completed and formally recorded.
    • An email notification is automatically sent to the "Department Manager" selected on the form. The email includes key details of the Walk and a link to the record.
    • Editing is generally restricted in this state.
    • From "Open," the Walk can be Archived.
  • Archived:
    • The Walk is finalized and stored for historical purposes. It becomes read-only.
    • An administrator can Re-Open an archived Walk if changes are needed, returning it to the "Open" status.
