Recording Specific Observations during a Walkthrough
Learn how to use the 'Observation' form to document individual safe or unsafe behaviours and conditions.
Purpose of Observations
While the main "Walks" form provides a summary, the "Observation" form allows you to capture detailed notes about specific behaviours or conditions seen during the Walk. These can be positive (highlighting good practices) or negative (areas for improvement).
Observations are often logged by selecting an option like "Add Observation" from within the main "Walks" record, ensuring they are automatically linked.
Logging a New Observation
- Initiate a New Observation Record (typically from the parent "Walks" record).
- Key Details:
- Observation Date: (Mandatory) Date the specific observation was made.
- Brief Description: (Mandatory) A concise summary of what was observed.
- Observer: (Mandatory) Person who made this observation.
- Observed Person: (Mandatory) The individual whose behaviour/work area was observed.
- Observation Type: (Mandatory)
- Positive: Select this if commending a safe act or condition.
- Positive Comments: (Mandatory if "Positive") Describe the commendable actions.
- Negative: Select this if noting an unsafe act or condition.
- What were they doing wrong: (Mandatory if "Negative") Describe the unsafe act/condition. This field may allow for timestamped history notes.
- Positive: Select this if commending a safe act or condition.
- Attachments: Add any photos or documents specific to this observation.
- Save/Submit:
- Saving an Observation usually keeps it in a "Draft" state.
- Submitting it moves it to an "Active" state, indicating it's a finalized record.
- "Active" observations can later be "Archived."
This detailed record-keeping for individual observations provides valuable data that supports the overall findings of your Safety Walks and helps in tracking trends or specific areas of concern over time.
