Creating and Saving a Diary Entry
Step-by-step guide on how to log a new diary entry, including details, site-specific information, and actions.
Starting a New Diary Entry
- Navigate to the Diary module and select New Record.
- The Hierarchy (e.g., Site, Department) will often pre-fill. Ensure it correctly reflects the location or area relevant to this diary entry. This is important for reporting and data organization. (See "Understanding Hierarchy").
Essential Information
- Reporting Person and Reporting Date: These will default to the current user and date but can be adjusted if logging retrospectively or on behalf of someone else.
- Event Type: Select the category that best describes your entry (e.g., "Observation," "Instruction Issued," "Site Visit"). This helps in organizing and later finding information.
- Brief Description: Provide a clear, concise summary. This is the primary identifier in list views.
- Full Description: Use this field for detailed notes, observations, or any comprehensive information related to the entry.
Recording People Involved
- Person Involved: Select the primary internal individual related to the event, if applicable.
- Other Involved: Add other internal colleagues who were also involved.
- External Involved: Note any non-company personnel (e.g., contractors, visitors, regulators).
Documenting Site and Event Specifics
- Weather: If relevant, select the 'Weather Type' and note any 'Weather Lost Time (hours)' to record impacts on work.
- Site Details:
- Use Start Time and End Time for time-specific events.
- The Site Visits field can be used to log visits from external parties (e.g., "Health Authority Check-in").
- Site Instructions Received (and from whom) helps document directives given on site.
- Further Details:
- Notification of Authorities: If external bodies were informed about an event.
- Any change in sequence of work (effect on programme): For noting impacts to schedules.
- Restriction/Access to Site: Document any access issues.
- Daily Progress and description of work done: Useful for ongoing logs related to a specific task or project phase.
- Delays to work caused by others: To record specific hold-ups.
Adding Attachments and Actions
- Attachments: Upload supporting documents or photos by browsing or dragging and dropping files into the designated area. (See "Adding Attachments").
- Associated Actions: If the diary entry necessitates follow-up:
- Click Create Action to log a new task in the Action Management module.
- Link to an existing action if it's already been recorded. (See "Linking Records" and "Creating and Managing Actions").
Saving Your Entry
- After completing all relevant fields, click Submit.
- Confirm by clicking Yes. The entry will be saved and typically moves to a 'Saved' status. (For general information, see "Submitting Forms").
