Purpose of the Diary Module
The Diary module provides a centralized way to log contemporaneous information that doesn't fit into standard forms like Incident Reports or Inspections. It helps create a comprehensive record of daily activities, important observations, and site-specific occurrences. This ensures key information is easily retrievable and can be shared, promoting consistency and continuity.
Use the Diary module to record:
- General observations and site conditions.
- Instructions issued or received.
- Informal meeting notes or summaries of conversations.
- Details of site visits by regulatory bodies or other external parties.
- Unusual weather conditions and any resulting impact, such as lost work time.
- The number and type of employees or contractors on site for a given period.
Key Capabilities
- Categorized Entries: Use the 'Event Type' field to classify entries for easier filtering and reporting.
- Weather Logging: Document weather conditions and any associated 'Weather Lost Time (hours)'.
- Personnel Details: Record individuals involved, whether internal ('Person Involved', 'Other Involved') or 'External Involved'.
- Location Context: Associate entries with the correct part of your organization using the 'Hierarchy' field.
- Comprehensive Descriptions: Provide a mandatory 'Brief Description' for quick identification and a 'Full Description' for detailed notes.
- File Attachments: Upload relevant documents or photographs to support an entry. (See "Adding Attachments" guide).
- Action Integration: Link diary entries to new or existing tasks in the Action Management module to ensure follow-up. (See "Linking Records" and "Actions Module Overview").
- Site-Specific Information: Capture details like start/end times of events, specifics of site visits, instructions received, and information about trades and labour numbers on site.
- Workflow: Diary entries are typically saved directly. Once submitted, they are in a 'Saved' state.
