Understand how Health Management records move through different statuses, from creation to completion or archival.

Understanding Workflow and Statuses

Health Management records progress through several statuses, indicating their current stage. Here's a typical lifecycle:

  1. Draft

    • When you first start creating a record, it's in 'Draft'. You can save your progress and continue editing. It's not yet an active health record.
    • Once you provide the necessary details, you can typically move it to an active status like 'Open' or 'Complete', often depending on whether the 'Completion Date' is in the past or future.
  2. Open

    • This status means it's an active, current health record. For example, a health check that has been done and is not yet due for renewal.
    • From 'Open', a record can be manually marked as 'Complete'.
    • Importantly, if the 'Scheduled/Renewal Date' passes while the record is 'Open', the system will automatically change its status to Overdue.
    • If the person linked to the health record is archived in the system, this health record will also typically be automatically archived.
  3. Overdue

    • This status highlights that the 'Scheduled/Renewal Date' for the health item has passed and requires attention.
    • Once the health item is addressed (e.g., a renewal is completed), the record can be manually moved to 'Complete'.
    • Similar to 'Open' records, if the linked person is archived, an 'Overdue' health record will also typically be archived.
  4. Complete

    • This status indicates the health requirement has been fulfilled. These records are generally not editable by default (except by administrators).
    • If the health item is recurring, the system might automatically move a 'Complete' record back to Overdue when the next 'Scheduled/Renewal Date' passes.
    • 'Complete' records will also typically be archived if the linked person is archived.
  5. Archive

    • Archived records are no longer active. This usually occurs if the person is no longer with the organization or the health item is no longer relevant.
    • If an archived person's record is restored in the system, their archived health records may also be automatically reactivated (e.g., to 'Open').

The system uses the 'Completion Date', 'Scheduled/Renewal Date', and the status of the linked person to help automate some of these transitions.
