Defining and Classifying Non Conformances (Area Quality Representative)
A guide for Area Quality Representatives on reviewing, describing, classifying, and assigning non-conformance reports for investigation.
Your Role
As the Area Quality Representative, you review newly submitted ('New Report' status) or reopened non-conformances. Your task is to add detail, classify the issue, and assign it for in-depth investigation.
Describing the Non Conformance ('Non Conformance Description' Section)
Provide a comprehensive account:
- Detection Method: (Required, Dropdown) How was the non-conformance found (e.g., 'Audit - Internal', 'Customer Feedback')?
- Describe the Non Conformance: (Required, Rich Text) Detail what went wrong.
- Describe the specification...: (Required, Rich Text) Clearly state the standard or requirement that was not met.
- Specification documented where: (Dropdown) Indicate where this standard is formally recorded.
- Reference: Any specific document number or clause for the specification.
- Name of specification owner: (Person Search) Who is responsible for this standard?
Defining the Non Conformance ('Define Non Conformance' Section)
- Classification Options: (Required, Dropdown) Select the category that best fits the non-conformance. This helps in analysis and targeted action.
- Area Quality Representative Comments: (Text Area) Add any notes relevant to your classification or initial assessment.
Assigning Investigators
Internal Investigation
- Internal Responsible Root Cause Investigator: (Required, Person Search) Select the primary person within your organization who will investigate the root cause.
External Investigation (if applicable)
The 'External Root Cause Investigator' section appears if the 'Process' was marked 'External' during logging. Here you can document:
- External Organisation name.
- Response Required By date.
- Person Responsible at the external organization and their Email Address.
Submitting for Investigation
Once you've completed your review and assignments, click the 'Submit to investigator' (or similar) button. This moves the report to 'Open Report' status and notifies the assigned investigator(s) to begin their work.
