Logging a New Non Conformance Report
Learn how to create and submit a new Non Conformance report, providing essential initial details.
Starting a New Report
- From the main menu, navigate to the Non Conformance module.
- Click 'New Record' (or a similar button).
- Ensure your Hierarchy (e.g., Company, Site, Department) is correctly set. This is important for routing and reporting.
Initial Details ('Non Conformance Details' Section)
Provide the basic information about the non-conformance:
- Reporting Person: (Required) Defaults to you.
- Date Reported: (Required) Defaults to today.
- Occur Date: (Required) When the non-conformance happened.
- Occur Time: If relevant.
- Process: (Required, Dropdown) Select 'Internal' or 'External'. This choice influences the investigation process, potentially revealing different form sections for externally-driven issues.
- Affiliation: (Dropdown) Choose the relevant affiliation (e.g., 'Employee', 'Contractor').
- Project, Product/Service: (Dropdowns) Select if the non-conformance relates to a specific project, product, or service. These aid in categorization and analysis.
- Brief Description: (Required) A clear, concise summary.
- Third Party Involved?: (Yes/No) If 'Yes', you'll be prompted to specify which Third Parties ('Client', 'Supplier', 'Other') are involved using checkboxes. Based on your selections here, fields for 'Client' or 'Supplier/Service provider' details may appear.
- If 'Other third party' is selected, a 'Third Party Details' section will appear to capture their name, telephone, and address.
Designating the Reviewer ('Area Quality Representative' Section)
- Area Quality Representative: (Required, Person Search) Select the person (often in a quality role) responsible for the next step: reviewing and classifying your report.
Saving or Submitting
- Save: Saves the report as a 'Draft'. You can return to edit it later. Drafts are usually only visible to you and administrators.
- Submit: Moves the report to 'New Report' status and notifies the selected Area Quality Representative to begin their review.
