Using the Master VOC Template
The "Master VOC Template" provides a foundational structure for creating various VOC forms. Administrators can use this template to ensure consistency. It typically includes standard sections for employee details, written/oral assessment, practical assessment, assessment decisions, and a training record link.
Customizing Questions in a Template
Administrators can often edit a master template (or a clone of it) to add or modify questions within the assessment sections.
- Access the Form Editor for the VOC module. (General Form Editor functions are described in "Form Editor Overview" and "Adding Questions").
- Locate the questionnaire fields for 'Written Oral Assessment' and 'Practical Assessment'.
- Edit these fields to refine the questions.
Cloning VOC Forms
To create new, specific VOC forms (e.g., for a particular machine or task), the recommended method is to clone the "Master VOC Template" or another suitable existing VOC form.
- Access Form Management: As an Administrator, go to the form management area (often under Administration / Form & Workflow Definition).
- Select and Clone: Find the desired source form (e.g., "Master VOC Template") and use the 'Clone' or 'Copy' function.
- Rename and Configure:
- Give the cloned form a clear Caption (e.g., "VOC - Forklift Operation"). This is the title users will see.
- Customize Questions for Specific Needs:
- Open the new cloned form in the Form Editor.
- Tailor the questions in the 'Written Oral Assessment' and 'Practical Assessment' sections to the specific competency being verified.
- Review Workflow and Permissions:
- The cloned form inherits workflow and permissions. Review and adjust these as needed to ensure they are appropriate for the new form and its users.
Cloning allows for efficient creation of a library of standardized VOC forms tailored to your organization's specific requirements.
