Defining a Drill in the Register (Drills & Exercises Record)

How to create and manage a 'Drills & Exercises' record, which outlines a recurring drill or exercise.

Creating a "Drills & Exercises" Record

This record serves as the master plan for a type of drill or exercise.

  1. From the Drills & Exercises Register module, select 'New Record'.
  2. If necessary, adjust the Hierarchy (e.g., Company, Site) to which this drill plan applies.

Key Information for Your Drill Plan

  • Drill Parameters:
    • Location: Specifies the area or site for this drill series.
    • Type of Drill: Categorizes the drill (e.g., "Fire Evacuation", "Spill Response").
    • Person Responsible: Assigns accountability for this drill series.
    • Frequency: Sets how often the drill should occur (e.g., "Annual", "Quarterly").
  • Comments: Use for general notes or objectives for this drill series.
  • Associated Actions: Link or create actions for planning or setting up this drill series (e.g., "Update evacuation maps").
  • Attachments: Attach relevant documents for the overall drill series, like standard operating procedures.

Workflow for Drill Plans

  • Save (Draft): Saves the record in a Draft state if it's not yet finalized.
  • Submit (to "In Use"): Finalizes the plan and moves it to the In Use state, indicating it's an active drill requirement.
  • Later, an In Use record can typically be Archived if it's no longer current.

Once the record is "In Use", you can begin logging specific drill occurrences against it (see "Logging a Drill Occurrence").
