Understanding the Drills & Exercises Register Structure

Explains the two-part structure of the Drills & Exercises module: the main register entries and the drill history logs.

Two Main Record Types

The Drills & Exercises module employs a two-tiered system:

  1. Drills & Exercises Record (The Plan):

    • Purpose: Defines a planned, recurring drill or exercise (e.g., "Quarterly Fire Drill - North Wing").
    • Key Information: Includes Location, Type of Drill, Person Responsible (for the series), and Frequency.
    • Workflow: Typically progresses from Draft (initial planning) to In Use (active plan) and eventually Archived.
  2. Drill History Record (The Log):

    • Purpose: Logs each time a planned drill is actually performed.
    • Linking: Created from within a "Drills & Exercises" record, linking the log to its parent plan. Look for a "Log New" or similar button within the history section of the plan.
    • Key Information: Includes Drill Date (when it happened), Next Drill (if applicable), and Comments specific to that instance.
    • Workflow: Typically moves from Draft (logging in progress) to Complete (log finalized).

How They Work Together

The "Drills & Exercises Record" is your master plan. Each time you execute that plan, you create a "Drill History Record" to document that specific event. This maintains a clear distinction between the ongoing drill requirement and its individual performance logs.
