Managing Online Learning Enrolments and Progress

How to enrol users in online courses and track their progress.

Creating a Course Enrolment

Enrolments are managed via the Admin section of Online Learning.

  1. Login to Online Learning.

  2. Navigate to Admin > Enrolments.

  3. Select 'Enrol'.

  4. Select the Course(s) for enrolment (only Active courses are available).

  5. Select the User(s) to enrol from the menu.

  6. Select 'Enrol'. An entry appears in the enrolment table showing the user, course, and status (e.g., Not Started, In Progress).

Note: When an enrolment is created, a corresponding Training Record is automatically created or updated in the Training Records module for the user.

Tracking User Progress

User progress for online courses can be viewed directly within their Training Record.

  1. Navigate to the Training Records module.

  2. Open the relevant user's Training Record.

  3. Navigate to the 'Online Learning' section or tab within the record.

  4. Review the progress status (e.g., Not Started, In Progress, Completed) and completion date. This information updates automatically as the user progresses through the course in the Online Learning module.

Public Invitations

For individual courses, you can enable public access, allowing anyone with a link or QR code to complete the course without needing a myosh account or formal enrolment.

  1. Navigate to Online Learning > Manage > Courses.

  2. Open the course you want to make public.

  3. Slide the 'Public Invitation' toggle to enable it.

  4. Copy the generated link or use the QR code to share.

  5. When accessed, the recipient completes a simple registration form (email, first/last name).

  6. Upon completion, a training record is automatically captured in Training Records > Contractor Training Record.

Automating Enrolments for New Users

For an advanced use case, the semi-automated Training Record creation feature can be combined with the Rules Engine to fully automate the enrolment of new users into mandatory online courses.

The process is as follows:

  1. A new employee is added to the system, and their mandatory competencies are identified.
  2. The system prompts an administrator to create the missing Training Record for a mandatory course (e.g., "Company Induction").
  3. A rule is configured in the Rules Engine to trigger whenever a new Training Record is created for the "Company Induction" competency.
  4. The action for this rule is to automatically create a new enrolment in the Online Learning module for that user and that course.

This powerful combination removes the need for any manual enrolment steps in the Online Learning module for standard, mandatory induction courses, creating a seamless onboarding experience.
