Accessing Training Reports
The system provides several built-in reports to help you analyze training data, track compliance, and manage upcoming requirements. These are typically found in a dedicated "Reports" section of the application.
Common Standard Reports
While specific report names may vary, you can generally expect to find reports such as:
- Training Compliance Report: Provides an overview of training completion rates, often filterable by organizational unit (e.g., department) or by specific competencies. This helps identify areas where additional training or follow-up may be needed.
- Upcoming Expiries Report: Lists all training records that are due to expire within a selected timeframe (e.g., next 30, 60, or 90 days). This is crucial for proactive renewal management.
- Training History Report: Offers a detailed log of training undertaken by individuals or groups over a specified period. Useful for audits or individual development tracking.
- Competency Matrix: (If available) May show a grid view of employees/contractors against required competencies, indicating their current training status (e.g., Compliant, Expired, Pending).
How to Generate a Report
- Navigate to the Reports section of the system.
- Locate and select the specific training report you need (e.g., "Upcoming Expiries").
- Apply any necessary filters to refine your results. Common filters include:
- Date ranges (for completion, expiry)
- Competency
- Employee or Contractor name
- Department, Site, or other hierarchy levels
- Click the Run Report or Generate button.
- The report will display on screen, and options to export (e.g., to Excel, PDF) or print may be available.
