Training Gap Analysis and Scheduled Exports
Learn how to use the Gap Analysis view for a person-centric summary of training needs and how to set up Scheduled Exports for automated reporting.
Gap Analysis View
The Gap Analysis view provides an alternative visual representation of the training data, shifting the focus from a grid of individual competencies to a summary for each person.
Purpose
Its purpose is to quickly identify overall training gaps for individuals based on their required competencies.
How to Access
You can switch to this view using the top-left dropdown selector within the main Training Matrix interface.
Columns Displayed
The Gap Analysis view includes the following columns:
- Person: The name of the individual.
- Occupation: The person's primary occupation.
- Secondary Occupations: Any secondary occupations assigned.
- Affiliation: The person's affiliation (e.g., Employee, Contractor).
- Required: The total number of mandatory competencies required for the person's occupation(s).
- In Training: The number of required competencies currently in the "In Training" status.
- Completed: The number of required competencies that have been successfully completed.
- Outstanding: The number of required competencies that are currently "Not Completed" or "Expired."
Scheduled Exports
The Scheduled Exports feature allows you to automate the distribution of training matrix data via email on a recurring schedule.
Creating a Scheduled Export
- First, create and save a View that contains the specific data and layout you want to export. (See "Managing Training Matrix Views").
- Navigate to the scheduling feature, often found under an 'Exports' or 'Scheduled Reports' tab or menu.
- Select the option to create a New Scheduled Report or New Export.
- Configuration Steps:
- Name: Give your scheduled export a descriptive name.
- Email Subject: Define the subject line for the notification email.
- Recipients: Add the email addresses of the individuals who should receive the report.
- Select View: Choose the saved view you created in step 1 from the dropdown list.
- Set Schedule: Define the frequency and timing for the export.
- Select the Time Zone.
- Choose the Frequency (e.g., Daily, Weekly, Monthly).
- Set the specific Time of day for the export to run.
- Save the scheduled export configuration. The report will now be generated and emailed automatically according to the schedule you have set.
